Nomia Bee Australia Foundation Limited, referred to as Nomia, we, us or our, respects your privacy and is committed to protecting personal and confidential information.

We handle personal information in accordance with the Privacy Act 1988 and the Australian Privacy Principles to the extent that they apply to us. We also follow these principles as a matter of responsible governance.

This Privacy Policy explains how we collect, use, disclose, protect and manage information.

  • farmer and agricultural research activities;

Depending on your interaction with Nomia, we may collect:

  • crop types, crop yields, land area and historical production information;

  • information about farming practices, pollination requirements and program participation;

  • correspondence, enquiries and feedback;

  • volunteer, employment or contractor information;

  • photographs, recordings or event information where consent has been obtained; and

  • technical website information, including IP address, browser type, device information, pages visited and the date and time of access.

Some farm or business information may not legally be personal information. However, Nomia will still treat non-public farm, production and commercial information as confidential where appropriate.

We will only collect sensitive information where it is reasonably necessary and where consent or another lawful basis permits its collection.

We generally collect information directly from you when you:

  • apply to participate in the Nomia Program;

  • contact us by email, telephone or in person;

  • make a donation or other payment;

  • attend an event or meeting;

  • apply to work or volunteer with us.

  • an authorised representative;

  • research or program partners;

  • government agencies;

Where practical, you may contact us anonymously or using a pseudonym. However, we may need your identity to assess a program application, process a transaction, issue a receipt, respond properly to an enquiry or meet legal obligations.

5. Why we collect and use information

Nomia may collect and use information to:

  • respond to enquiries;

  • assess participation in the Nomia Program;

  • plan, operate and evaluate native bee and pollination projects;

  • establish agricultural and crop-yield baselines;

  • conduct research, monitoring and program evaluation;

  • develop pollination resilience methods and infrastructure;

  • communicate with farmers, researchers, supporters and stakeholders;

  • process donations, payments and receipts;

  • manage funding, grants and government reporting;

  • engage contractors, employees and volunteers;

  • maintain website security and functionality;

  • protect Nomia’s legal rights and interests;

  • comply with legal, regulatory, governance and reporting requirements; and

  • carry out activities reasonably connected with Nomia’s charitable purposes.

We will not use personal information for an unrelated purpose unless you consent or the use is otherwise permitted or required by law.

6. Farm, crop and research information

Nomia recognises that farm location, yield and production data may be commercially sensitive.

Identifiable farm information will not be published without the farmer’s or authorised representative’s consent, unless disclosure is required by law.

Nomia may use de-identified or aggregated information for:

  • scientific and agricultural research;

  • program design and evaluation;

  • biosecurity and agricultural resilience planning;

  • government and regulatory reporting;

  • funding and grant reporting;

  • publications and presentations; and

  • public reporting about program outcomes.

De-identified or aggregated information may be shared with relevant Australian government agencies, regulators, research organisations, universities, professional advisers, funders and program partners.

Nomia will take reasonable steps to reduce the risk that de-identified information could be connected back to an identifiable person or farm.

Identifiable information may be disclosed where:

  • you have given consent;

  • it is reasonably necessary to provide an agreed service or operate a program involving you;

  • the recipient is providing secure services to Nomia;

  • disclosure is required or authorised by law;

  • disclosure is necessary to respond to a serious threat; or

  • another lawful exception applies.

Nomia does not sell personal information or identifiable farm information.

7. Who we may disclose information to

Where reasonably necessary, information may be disclosed to:

  • website hosting, form, email and cloud-storage providers;

  • payment processors and financial institutions;

  • accounting, auditing, insurance and professional service providers;

  • researchers, universities and scientific advisers;

  • agricultural and technical consultants;

  • contractors and program delivery partners;

  • Australian government agencies and regulators;

  • funding bodies, subject to appropriate confidentiality protections;

  • legal advisers, courts and enforcement authorities; or

  • another person or organisation with your consent.

We will seek to limit disclosure to the information reasonably required for the relevant purpose.

Service providers may only use the information for the services they provide to Nomia, subject to their legal and contractual obligations.

8. Donations and payments

When payments or donations are available through the website, payment information may be collected directly by the payment provider displayed during the transaction.

The payment provider will handle payment information under its own privacy policy and security arrangements.

Nomia may receive transaction details such as:

  • the amount and date;

  • a transaction reference;

Nomia does not intend to retain complete credit or debit card numbers entered through a hosted payment facility.

Where personal information is likely to be disclosed to an overseas recipient, Nomia will take reasonable steps required by applicable law to protect the information.

The countries involved depend on the providers and systems being used. You may contact Nomia for current information about likely overseas processing or disclosure locations.

Nomia takes reasonable steps to protect information against:

  • loss;

  • unauthorised access;

  • unauthorised modification; and

  • unauthorised disclosure.

Safeguards may include:

No internet transmission or storage system is completely secure. Nomia cannot guarantee absolute security.

13. Retention and destruction

De-identified research and statistical information may be retained for longer periods where it no longer identifies an individual.

14. Accessing or correcting your information

You may request access to personal information Nomia holds about you.

You may also ask us to correct information that is inaccurate, out of date, incomplete, irrelevant or misleading.

There is no fee to make a request. A reasonable fee may apply to providing access where permitted by law. We will tell you in advance if a fee applies.

We will respond within a reasonable period. We may refuse access in circumstances permitted by law and will provide reasons where required.

15. Privacy complaints

You may contact us if you believe Nomia has mishandled your personal information or breached this policy.

Please include:

  • your name and contact details;

  • a description of the concern;

  • relevant dates or communications; and

  • the outcome you are seeking.

We will acknowledge the complaint and investigate it fairly. We aim to provide a response within 30 days, although complex matters may take longer.

16. Data breaches

Nomia will investigate suspected data breaches and take reasonable steps to contain and address them.

Where required by the Privacy Act’s Notifiable Data Breaches scheme, Nomia will notify affected individuals and the Office of the Australian Information Commissioner when a breach is likely to result in serious harm.

Nomia may also notify affected individuals voluntarily where doing so is appropriate.

The Nomia website may link to external websites.

Nomia is not responsible for the privacy practices, content or security of external websites. You should review their privacy policies before providing personal information.

18. Children and young people

Nomia’s website and program forms are primarily intended for adults and authorised representatives of farming enterprises and other organisations.

A person under 18 should have a parent or legal guardian provide or approve personal information submitted to Nomia.

19. Changes to this policy

Nomia may update this Privacy Policy when its activities, systems, service providers or legal obligations change.

The current version will be published on the Nomia website with its effective date.
